How to manage hostel — gate passes, medical events, visitors (Warden — App & Web)

App Steps

Open the app and log in as Warden.

Tap 🏠 Hostel on the dashboard.

Gate Passes tab: View pending gate pass requests. Tap Approve or Reject.

When approved, the student receives an SMS notification immediately.

When rejected, the rejection reason is shown to the student.

Medical Events tab: Tap + to log a new medical event for a student.

Enter the student name, date, description of the medical issue, and action taken.

Save. The parent receives an automatic SMS alert.

Visitors tab: Log visitor details — visitor name, relationship, purpose, date and time.

Student records: View all hostel students with their room assignments.

Web Steps

Go to Hostel from the left menu.

Gate Passes, Medical Events, and Visitors are managed from separate tabs.

Gate Passes: View pending requests, approve or reject with remarks.

Medical Events: Log new events, view history per student.

Visitors: Record visitor entries and exits.

Room Management: Assign students to rooms and blocks.

💡 Tips & Notes

Gate pass approvals trigger an automatic SMS to the student. Medical alerts trigger an automatic SMS to the parent. Ensure notification settings are enabled for these flows.
